1. Who We Are

NiceToMeetYou.ai is the trade name of HobbyHub LLC, a Kansas limited liability company (“NiceToMeetYou.ai,” “we,” “our,” or “us”). Our principal mailing address is 8101 College Blvd Ste 130 PMB 534573, Overland Park, KS 66210-2793 USA. You can reach us at admin@nicetomeetyou.ai.

2. Acceptance of Terms

By creating an account, booking an experience, or otherwise interacting with our website, mobile app, or services (collectively, the “Platform”), you agree to these Terms & Conditions (“Terms”). If you do not agree, do not use the Platform.

3. Eligible Users

• You are at least 18 years old (For Drink events, the legal drinking age in your jurisdiction).
• You are using the Platform for personal, non-commercial purposes.
• You have full authority to enter into these Terms and are not barred by law from doing so.
• You have not been removed from the Platform previously unless we provide written permission to return.

4. Services We Provide

We curate dining and social experiences by using the Google Places API to identify local venues where members can vote and coordinate meetups (“Events”). Our matching engine blends structured quiz inputs, AI-driven compatibility data, and scheduling tools to assemble small synergy groups. Through the Platform, you can complete onboarding, manage subscriptions, reserve seats, redeem invite codes, coordinate with your table through chat and venue voting, access table games, and view post-event feedback.

We may also collaborate with local leads, restaurants, or community partners in the future to enhance event offerings. While we strive to provide accurate event details, we do not guarantee availability, venue selection, group composition, or outcomes. Venue services, food, and beverages are provided by third parties, who remain solely responsible for their own offerings.

5. Account Registration & Security

• Provide current, complete, and accurate information when creating your account.
• Safeguard your login credentials. You are responsible for all activity under your account.
• Notify us immediately if you suspect unauthorized access at admin@nicetomeetyou.ai.

6. Tickets, Memberships & Payments

• Subscriptions: Subscriptions renew automatically for the period disclosed at checkout until you cancel through the Stripe customer portal or by contacting support. Cancel before your renewal date to prevent the next charge. We send renewal reminders where required by law.
• Seat Reservations: An active subscription is required to reserve seats, join last-minute opportunities, or send bring-a-friend invitations. Food and beverage costs are paid directly to the venue unless we explicitly state otherwise.
• Payment Processing: We use third-party payment providers (currently Stripe). By submitting payment information, you authorize us and our processor to charge the applicable amounts. We do not store full payment card numbers on our servers.
• Refunds & Strikes: Cancel at least twelve (12) hours before the event start time to avoid strikes or forfeiting eligibility for refunds. We may waive penalties when a table falls below the minimum group size, when you joined via a last-minute top-up within the cool-off window, or when NiceToMeetYou.ai cancels an Event. No-shows may trigger account pauses or strike resets at our discretion.

7. Changes & Cancellations

Event times, locations, menus, and guest lists may change. Our scheduling engine may reassign you to a comparable table to balance group size or compatibility. We will notify you as soon as practical. We reserve the right to decline or cancel any reservation for reasons including capacity limits, safety concerns, or payment issues.

8. Your Responsibilities

• Use the Platform lawfully and respectfully.
• Do not misuse personal information shared by other guests.
• Follow community guidelines, safety instructions, and lead directions.
• Keep your profile, compatibility quiz, and booking preferences accurate so the matching engine can work effectively.
• Honor reservations you claim or cancel in time for the backfill process to find a replacement.
• Pay all applicable fees on time.
• Do not attempt to interfere with the Platform’s operation or security.
• Provide honest, respectful reviews and feedback. Do not game badges, XP, or Real-World Feedback Reports.

9. Prohibited Conduct

In addition to our Community Guidelines, you agree not to:

• Reverse engineer, scrape, or access the Platform to build a competing service.
• Use automated tools (bots, spiders) without our written consent.
• Post or transmit malicious code.
• Impersonate any person or entity.
• Solicit others for commercial purposes without permission.
• Circumvent eligibility requirements, subscription checks, or booking limits (including misuse of invite codes or duplicate accounts).

10. Intellectual Property

The Platform, including text, graphics, trademarks, and software, is owned by NiceToMeetYou.ai or its licensors and protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable license to use the Platform for personal purposes. You may not reproduce, distribute, or create derivative works without our consent.

11. User Content

You may submit reviews, messages, venue votes, profile updates, table chat, photos, and other content (“User Content”). You represent that you own or have rights to the User Content you post. By submitting User Content, you grant NiceToMeetYou.ai a worldwide, royalty-free, transferable license to use, reproduce, adapt, and display it for operating and promoting the Platform, generating Real-World Feedback Reports, and improving matching quality. We may remove or redact User Content that violates these Terms or our policies.

12. Privacy

Your privacy matters to us. Please review our Privacy Policy to understand how we collect, use, and share personal data.

13. Disclaimer of Warranties

The Platform and Events are provided “as-is” and “as available.” We disclaim all warranties, express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not guarantee uninterrupted or error-free service.

14. Limitation of Liability

To the fullest extent permitted by law, NiceToMeetYou.ai is not liable for indirect, incidental, consequential, special, or exemplary damages arising from or relating to your use of the Platform or attendance at Events. Our total liability for any claim is limited to twenty-five percent (25%) of the amounts you paid to us in the twelve (12) months preceding the claim.

15. Indemnification

You agree to indemnify and hold harmless NiceToMeetYou.ai and its officers, directors, employees, and agents from any claims, damages, liabilities, and expenses arising from your use of the Platform, your User Content, or your breach of these Terms.

16. Force Majeure

We are not responsible for delays or failures caused by events beyond our reasonable control, including but not limited to natural disasters, pandemics, government actions, or transportation disruptions.

17. Dispute Resolution & Governing Law

These Terms are governed by the laws of the State of Kansas, without regard to conflict-of-law principles. Any dispute arising under these Terms will be resolved in the state or federal courts located in Sedgwick County, Kansas. You consent to that venue and waive objections to inconvenient forum.

18. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes via email or through the Platform at least thirty (30) days before they take effect. Continued use after the effective date constitutes acceptance of the updated Terms. If you disagree, you must stop using the Platform and cancel any memberships before the changes take effect.
